About the Role

We are actively seeking a Treatment Coordinator to join our dynamic team. As a key representative of our organization, you'll be the friendly face guiding patients through their smile journey—scheduling appointments, communicating treatment plans, assisting with financing, and providing exceptional customer service.

Note: Love working with kids! They constitute 70% or more of our patient base.

Responsibilities

• Drive Treatment Acceptance: Explain treatment costs, insurance coverage, and financing options to interested patients.
• Patient Communication & Education: Clearly explain treatment plans and timelines to patients and families, addressing questions and concerns.
• Financial Coordination: Present and help patients navigate financing options, review insurance benefits, and manage payments and outstanding balances.
• Administrative Duties: Schedule and confirm appointments, maintain detailed patient records (medical history, ongoing treatments), and submit insurance paperwork.
• Technical Assistance: Operate X-ray machines and assist with clinical tasks when certified.
• Referrals & Satisfaction Tracking: Encourage patient referrals post-treatment and monitor satisfaction with our care.
• Compliance & Integrity: Adhere to all regulations, standards, and company policies.
• Other Duties: Perform additional tasks as assigned.

Qualifications

Education & Experience

• High School diploma or GED required
• At least 1 year of orthodontic or related experience required

Necessary Skills

• Excellent communication and interpersonal skills
• Previous sales experience—comfortable discussing costs and payment plans
• Responsive and proactive in following up with patients
• Computer proficiency in Microsoft Office Suite
• Knowledge of orthodontic techniques and procedures

Preferred Skills

• Experience as a Treatment Coordinator in a dental or orthodontic practice (3+ years preferred)
• Over 3 years of sales or customer service experience
• Knowledge of dental insurance, payment financing, and self-pay collections
• X-ray and CPR certification
• Bilingual abilities, especially Spanish, are a plus

Physical Requirements

The role involves:

• Effective communication with patients, parents, clinicians, and staff
• Operating computers, keyboards, and standard office equipment
• Lifting or carrying up to 30 lbs, and twisting, bending, or stooping as needed

Most work is conducted in a clinical environment with potential extended hours during busy periods. Work hours may vary according to business needs.
