The Office Manager plays a crucial role in ensuring the smooth daily operations of our clinic while fostering a supportive and high-quality environment for both staff and clients. This position requires strong leadership, organizational skills, and a passion for purposeful care.

🌟 About the Role

The Office Manager is responsible for overseeing the day-to-day operations of the clinic, including planning, organization, scheduling, and workload distribution among team members. They ensure high levels of customer satisfaction while supporting the Clinical Director and clinical team.

📝 Key Responsibilities

  • Operational Management and Staff Coordination:
    • Supervise daily operations and coordinate staff schedules to ensure full coverage.
    • Oversee in-clinic orientation and track progress.
    • Support new team members during onboarding.
  • Customer and Client Service:
    • Manage front desk activities, including greeting visitors and handling phone communications.
    • Serve as the initial escalation point for client and family inquiries, assisting with complex cases upon recommendation.
  • Scheduling and Resource Allocation:
    • Work with the centralized scheduling department to optimize client and staff schedules.
    • Monitor and adjust schedules and resource distribution as needed.
  • Meeting and Workflow Coordination:
    • Organize, schedule, and facilitate monthly team meetings.
    • Coordinate workflow and operational changes with the Clinic Director.
  • Team Member Administration:
    • Manage attendance and ensure accurate timekeeping.
    • Participate in onboarding and offboarding, including logistics and equipment return.
  • Additional duties as assigned.

🎓 Qualifications

  • Bachelor’s degree in healthcare, business administration, or a related field.
  • At least 3 years of leadership experience in a healthcare facility or clinic.
  • Proficiency in both Spanish and English.
  • Previous supervisory experience in registration or clinic operations preferred.
  • Knowledge of customer service principles, basic medical terminology, and computer systems (including client or medical databases).
  • Excellent communication skills—verbal and written.
  • Ability to learn ABA terminology and adapt quickly.
  • Strong organizational and time management skills.

⚠️ Physical & Environmental Requirements

This role involves occasional lifting of items up to 25 pounds, prolonged standing and movement within the clinic, and working near young children, sometimes around bodily fluids. You will be exposed to varying odors, temperatures, and noises, contributing to a dynamic, client-centered environment.

📋 Performance & Compensation

The Regional Director of Operations and Clinic Director will conduct performance evaluations. Compensation ranges from $24-$30/hour. Benefits include:
