Job Purpose
The Office Manager is responsible for the day-to-day administration and management of GHMS's Community Health Center Facilities. Key duties include overseeing front office functions, patient intake and check-out, monitoring patient flow, and facilities management. Support organizational operations by leading a cohesive workforce, enabling clinical providers to deliver care in an orderly and cost-effective manner. The Office Manager also serves on the organization's Leadership Team. 🏥💼
Major Duties and Responsibilities
- Administrative & Financial Oversight: Manage all front office operations, including financial matters at the assigned community health center.
- Operations Management: Oversee daily activities impacting Accounts Receivable (A/R) & Collections and monitor patient accounts to resolve high balances.
- Patient Financial Counseling & Customer Service: Conduct financial counseling, address patient concerns, and ensure exceptional service quality.
- Cash Handling & Reconciliation: Ensure accurate daily cash receipts, reconciliation, and timely deposits.
- Patient Scheduling & Provider Coverage: Monitor patient flow and manage provider schedules at the facility.
- Front Office & Personnel Management: Oversee check-out, patient appointment scheduling, and personnel staffing; serve as backup when required.
- Facilities & Equipment Maintenance: Handle physical plant issues, maintain equipment, and serve as Site Safety Officer.
- Medication & Vaccine Management: Oversee Patient Assistance Program, manage drug sample inventory, monitor storage temperatures, and report vaccine inventories at satellite sites.
- Supply Chain & Logistics: Acquire necessary supplies & equipment for clinical and administrative support.
- Communication & Coordination: Sort and distribute mail, coordinate team activities, vendor lunches, and meetings across sites.
- Policy & Compliance: Follow organizational policies, HIPAA, and ethical standards to safeguard information and ensure smooth information flow.
- Teamwork & Attendance: Practice respectful teamwork, maintain good attendance & punctuality, and request time off following policies.
- Additional Duties: Perform any other tasks to promote optimal healthcare services for GHMS patients.

Prerequisite Experience & Skills
- Medical Office Management: 5 years required
- Languages: Spanish proficiency required

- Relocation: Must relocate to Canton, GA 30040 before starting
