Client Overview
Our client, a distinguished spirits brand, is on the hunt for a dedicated Bilingual Office Manager to elevate their office environment and streamline operations.
Office Manager Responsibilities
- Oversee daily office functions: Maintain a well-organized, efficient, and welcoming space for employees and visitors.
- Communication liaison: Act as the primary contact with building management, vendors, and service providers.
- Maintenance & IT coordination: Collaborate with internal teams and external providers to handle office maintenance and IT needs.
- Vendor management: Maintain relationships across security, pest control, food & beverage supply, and general maintenance services.
- Shipment handling: Manage all incoming and outgoing shipments ensuring timely deliveries for local, national, and international locations.
- VIP & influencer shipments: Coordinate with attention to presentation, tracking, and follow-up communication, maintaining excellent relationships.
- Inventory monitoring: Track and replenish office supplies, event materials, POS items, and product stock, including international inventory such as samples and branded materials.
- Expense tracking: Assist with monitoring office and logistics expenses, processing invoices, and reconciling reports.
- Scheduling support: Provide calendar and meeting coordination for executive leadership, including travel arrangements.
- Internal communication: Keep team members informed about office updates, policies, and procedures.
- Event logistics: Coordinate materials, sourcing décor, signage, and branded tools for events, managing on-site and off-site deliveries and setups.
- Event planning and support: Lead internal events such as holiday parties, off-sites, and celebrations, overseeing setup and breakdown.
- Onboarding & Employee support: Facilitate new hire onboarding, including office tours, system access, and initial setup.
- Resource for staff: Serve as the go-to person for office procedures, administrative support, and questions from team members.
Office Manager Qualifications
- Experience: 3+ years in office management, executive support, or operations, preferably within a fast-paced or high-end consumer brand environment.
- Skills: Excellent organizational, multitasking, and high attention to detail.
- Communication: Strong interpersonal and verbal/written communication abilities.
- Technical proficiency: Skilled in Google Workspace and Microsoft Office Suite.
- Stakeholder engagement: Comfortable liaising with high-level stakeholders and handling sensitive information.
