We are seeking a dedicated professional fluent in both Mandarin and English to support construction and technical operations through efficient administrative coordination.
Summary of Main Responsibilities and Duties
The Bilingual Mandarin Engineering Admin Coordinator plays a vital role in enhancing field efficiency and ensuring project continuity by managing various administrative processes. Your responsibilities include procurement, vendor invoice reconciliation, inventory management, site logistics, and document control. Effective communication between internal teams and external vendors, as well as maintaining accurate records, are key to this role. Fluency in both Mandarin and English is essential for seamless cross-functional collaboration in our bilingual environment.
Key Responsibilities and Duties
- Procurement & Material Support: Procure urgent materials and equipment to support field operations.
- Communication & Coordination: Manage phone applications, handle distribution, returns, and track issues.
- On-site Meals & Logistics: Organize meal planning, ordering, and delivery for field teams.
- Invoice & Timesheet Management: Verify vendor invoices and timesheets for accuracy; prepare discrepancy reports.
- Record Keeping: Collect, scan, archive digital records, and maintain physical sign-in sheets and project timesheets in Excel.
- Procurement Requests & Approvals: Complete procurement forms, route for approval, and archive finalized documents.
- Inventory & Asset Management: Weekly inventory checks, restocking requests, and tracking of tools and office supplies.
- High-Value Items & Equipment: Track distribution, obtain signatures, and report equipment issues via cloud logs.
- Administrative Support: Maintain the company phone directory, archive dispatch work orders, and support special tasks as needed.
Required Skills and Qualifications
- On-site Work: Ability to work at the TSMC construction site.
- Education & Experience: Bachelor’s degree preferred or equivalent work experience in administration or field operations.
- Experience: 2–4 years in administrative coordination, office operations, or related fields.
- Language Skills: Fluent in Mandarin and English, both verbal and written.
- Driver’s License: Valid license and comfortable driving as needed.
- Organizational Skills: Capable of managing multiple tasks, prioritizing, and maintaining precise records.
- Interpersonal Skills: Strong communication and cross-departmental coordination abilities.
- Technical Skills: Proficient in Microsoft Office Suite (Excel, Word, PowerPoint); familiarity with workflow tools is advantageous.
- Adaptive & Flexible: Comfortable working in a fast-paced environment with shifting priorities.
- Industry Interest: Background or interest in engineering, construction, or technical projects is preferred.
Work Schedule
The standard hours are Monday through Friday, from 9:00 AM to 5:00 PM, including a one-hour lunch break. Please note that schedules may be flexible and subject to adjustments based on operational needs.
