We are seeking a detail-oriented and fluent Mandarin-English professional to oversee essential administrative functions across our operations, ensuring efficiency and smooth communication within a dynamic environment.

🌟 Main Responsibilities and Duties

The Bilingual Admin Coordinator plays a pivotal role in maintaining operational excellence by managing core administrative areas such as fleet, facilities, employee services, housing logistics, and supporting cross-functional initiatives. This position combines strategic oversight with hands-on execution to promote compliance, continuity, and efficiency across various operational domains.

🔹 Specific Responsibilities and Duties

  • Fleet Administration: Manage vehicle maintenance, repairs, fuel usage, driver assignments, safety compliance, incident reporting, and violation tracking. Oversee vehicle procurement, registration, insurance, GPS tracking, and onboarding.
  • Accident & Insurance Management: Handle driver safety protocols, incident reports, auto insurance renewals, and driver profile updates.
  • Policy & Workflow Development: Create and maintain workflows and policies related to fleet, housing, and E2 processes.
  • Special Projects & Initiatives: Support cross-functional projects, ensuring coordination and timely completion.
  • Housing & Facility Operations: Manage housing logistics, including work orders, lease management, renewals, move-in/out procedures, insurance, and equipment tracking.
  • E2 Program Support: Assist with onboarding first-time U.S. arrivals (e.g., Social Security, banking, driver's licenses) and manage relevant workflows and policies.
  • Facilities Management: Ensure smooth operation of office, warehouse, and trailer sites—covering utilities, inspections, repairs, and vendor relationships.
  • Equipment Oversight: Oversee maintenance of MornstAir equipment like UTVs, lifts, and towers, including warranty and repairs.
  • Administrative Tasks: Handle business card creation, mail management, and phone line oversight (office, TSMC/AT&T, T-Mobile, fax).
  • Procurement & Expense Management: Process purchase requests, manage petty cash, and run business errands.
  • Cross-Departmental Support: Provide operational assistance to various teams as required.
  • Key & Inventory Control: Maintain key logs, control access, and manage inventory/restocking of office, trailer, and subcontractor supplies.
  • Event & Meal Planning: Organize monthly team-building events and coordinate catering for meetings and job sites.
  • Employee Support: Assist E2 employees with banking, translation, onboarding, and related services.
  • Transportation & Errand Running: Conduct driving duties such as airport pickups, employee transports, and running business errands.
  • Accounts Payable & Receivable: Process vendor invoices (excluding rentals/subcontractors), review and archive receipts, and handle invoicing for engineering projects.

🛠️ Required Skills and Qualifications

  • Bachelor’s degree required.
  • 2–4 years of experience in administrative coordination, office operations, or similar roles.
  • Proficiency in both Mandarin and English — strong verbal and written skills in both languages.
  • Valid driver’s license and confidence in driving when needed.
  • Ability to juggle multiple tasks, prioritize effectively, and maintain accurate records.
  • Excellent interpersonal skills for cross-departmental and external vendor coordination.
  • Proficient in Microsoft Office Suite (Excel, Word, PowerPoint); familiarity with workflow tools is a plus.
  • Comfortable working in a fast-paced, ever-changing environment.

⏰ Work Schedule & Additional Details
