About United Community Center

Located in Milwaukee, WI, the United Community Center is seeking a Bilingual Human Resources Administrative Assistant to contribute to our vibrant community. 🏢

Position Overview

The Human Resources Administrative Assistant provides essential clerical and administrative support to the HR department and Director. This role requires fluency in both English and Spanish to effectively serve employees and assist with HR operations, ensuring a smooth and organized work environment.

Essential Duties & Responsibilities

  • Respond to employee inquiries: Address routine questions about HR policies, benefits, and processes; escalate complex issues as needed.
  • Handle employment verifications: Process requests and maintain related records for employment, FMLA, education, and health documents.
  • Assist with payroll tasks: Manage administrative duties, answer employee questions, and support payroll processing activities.
  • Manage time-off tracking: Coordinate with supervisors to verify approvals, update blackout dates, and holidays.
  • Provide general HR support: Respond to emails, answer phones, assist with forms like Jury Duty, and share organizational information.
  • Calendar management: Maintain the HR Director’s schedule, organize appointments, and coordinate meetings.
  • Support onboarding: Assist with new hire orientation, badge preparation, data entry, driver abstracts, I9s, background checks, and attendance records.
  • Processing background checks: Manage volunteer background checks and assist departments with related requests.
  • Serve as liaison: Facilitate communication between HR, internal departments, and external vendors.
  • Support initiatives & projects: Assist with training, professional development, recognition programs, and surveys.
  • Event planning & support: Help organize staff meetings, employee events, retirements, health fairs, and training sessions.
  • Prepare materials & logistics: Organize documents and logistics for all-staff meetings.
  • Meeting documentation: Document minutes for HR Senior Staff meetings.
  • Recognition & distribution: Coordinate distribution of checks, birthday, Thanksgiving, and other recognition cards.
  • Participate in organizational events: Support and attend various company events with flexible scheduling.
  • Administrative duties: Complete purchase orders, expense vouchers, and assist with general administrative tasks like filing, copying, and scheduling.
  • Records management: Maintain accurate personnel files, ensure compliance, and perform periodic audits.
  • HR software maintenance: Keep HR records accurate, current, and secure, respecting confidentiality at all times.
  • Additional duties: Perform any other administrative responsibilities as assigned.

Skills & Abilities

  • Languages: Excellent verbal and written communication in English and Spanish.
  • Etiquette: Professional email and telephone communication skills.
  • Interpersonal Skills: Ability to handle confidential information professionally and with discretion.
  • Organization: Strong attention to detail and organizational skills.
  • Technical Proficiency: Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and HRIS systems.
  • Time Management: Ability to multitask, prioritize, and work independently or collaboratively.

Qualifications

  • Education: Associate’s degree preferred.
  • Experience: Prior administrative or HR office experience preferred.
  • Language: Bilingual fluency in Spanish and English (spoken and written) is required.
