Open Systems Technologies Is Hiring A Bilingual Executive Assistant
A financial firm is looking for an Executive Assistant (Bilingual) to join their team in New York, NY.
Pay: $45-48/hr
Bilingual Spanish fluency is a must.
- The position will be onsite in office 5 days/week
- Looking for an L3 Personal assistant with at least 5 years of experience and to be bilingual
- Hours are 10am to 6pm
- Ideally looking for someone with experience in Banking/Financial Services Industry
Executive Assistant Responsibilities:
- Performs complete administrative secretarial functions for the top executives & team
- Handles highly confidential matters, working with top level executives in work situations
- Interprets and adapts guidelines, practices and policies
- Completes scheduling of meetings as requested by executive and other department members
- Prepares correspondence and management presentation materials, answers telephones, and performs other administrative duties as assigned
- Assists the executive with planning, scheduling and organizing the affairs of the department
- Assembles and submits relevant data from files, etc.
- Compiles statistics and information, sets up reports and/or presentations as directed, using all necessary software
- Maintains a calendar of appointments, meetings etc.
- Coordinates travel and hotel reservations
- Screens telephone calls, mail and visitors
- Answers questions, furnishes information or redirects requests as appropriate to assist in supervisor's time commitments
- Exercises discretion concerning schedule changes, changing priorities and meeting interruptions
- Telephone relief for others in the area as necessary
- Gmail is a plus as we are on Gmail not Outlook
- Experience in Concur
- Bilingual Spanish fluency is a must (Spanish fluency is a must - communication with Spain & Latin America)
Reception Desk Responsibilities:
- Calendar Management, (Gmail is a plus)
- Serves visitors by greeting, welcoming, and directing them appropriately
- Notifies company personnel of visitor arrival
- Maintains security and telecommunications system
- Informs visitors by answering or referring inquiries
- Directs visitors by maintaining employee and department directories
- Maintains security by following procedures, monitoring logbooks, and issuing visitor access
- Keeps a safe and clean reception area by complying with procedures, rules, and regulations
- Supports continuity among work teams by documenting and communicating actions, irregularities, and continuing needs
