🌟 Job Responsibilities

  • Bilingual Fluency: Fluent in Spanish (written, speaking, and business acumen); this role involves regular interaction with Latin America Markets team members.
  • Calendar Management: Manage daily schedules for senior leaders, demonstrating flexibility and problem-solving skills to adapt to last-minute changes.
  • Meeting Coordination: Arrange and reserve conference rooms, catering, audio/video services, and other logistics for meetings and conferences.
  • Travel & Expense Management: Coordinate travel plans and submit expense reports efficiently using Concur.
  • Team Support: Drive team activities and events, including meetings, strategy sessions, conferences, supplies procurement, and social gatherings.
  • Task Management: Handle administrative requests proactively to ensure seamless support for staff.
  • Relationship Building: Build and maintain strong professional relationships with executives and administrative teams across the organization.
  • Administrative Assistance: Complete ad hoc requests promptly and with attention to detail.

🔧 Required Skills & Qualifications

  • Experience: 5+ years supporting senior executives in fast-paced, high-energy corporate or family office environments.
  • Multitasking: Ability to manage multiple priorities independently, maintaining accuracy and efficiency under tight deadlines.
  • Communication Skills: Excellent verbal and written communication; ability to produce well-edited, polished correspondence and materials.
  • Language Proficiency: Fluent in Spanish; comfortable communicating across diverse teams and regions.
  • Flexibility: Responsive and willing to monitor and handle communications after hours and weekends as needed.
  • Technical Skills: Advanced proficiency in Microsoft Office Suite (Word, PowerPoint, Excel) with strong attention to presentation quality.
  • Travel & Expense Tools: Experienced in Concur Travel & Expense Management and American Express Travel, including booking, reconciliation, and expense reporting.
  • Adaptability: Able to work effectively with high-energy, demanding executives and adapt to various work styles and personalities.
  • Professionalism: Known for discretion, proactive problem-solving, and maintaining confidentiality in dynamic environments.
