We are a U.S.-based law firm looking for a highly organized and proactive Bilingual Executive Assistant to support our leadership team. This role is essential for ensuring smooth daily operations, managing communications, and providing executive-level administrative support.

Key Responsibilities

  • Manage and maintain executive calendars: Schedule and confirm appointments, meetings, and calls.
  • Screen and respond to communications: Prioritize and handle phone calls, messages, and emails on behalf of the executive team.
  • Coordinate communications: Ensure timely follow-ups for internal and external messages.
  • Prepare documents and reports: Organize and create presentations, reports, and other materials as needed.
  • Assist with client meetings: Help in the preparation and follow-up processes.
  • Maintain confidentiality: Handle sensitive information with discretion at all times.
  • Perform administrative duties: Support the smooth operation of the firm through various tasks.

Qualifications

  • Educational background: Bachelor’s degree or equivalent professional studies.
  • Experience: Minimum of 3 years as an Executive Assistant or similar role.
  • Language skills: Bilingual in English and Spanish (fluent in both written and spoken).
  • Organizational skills: Strong multitasking abilities with keen attention to detail.
  • Communication skills: Excellent interpersonal and verbal/written communication.
  • Technical proficiency: Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other productivity tools.
  • Work ethic: Ability to work independently, prioritize tasks, and manage time effectively.
