The Opportunity
The role of an Executive Assistant is pivotal to supporting top leadership. In this position, you will be the right-hand to the CEO, facilitating effective communication and coordination across various departments and international offices.
Job Duties and Responsibilities
- Manage and maintain executive schedules, including arranging travel, conferences, and appointments, as well as making necessary adjustments.
- Prepare background information, meeting summaries, and supporting documents for the CEO's scheduled meetings.
- Conduct daily check-in meetings with the CEO to review tasks, track pending items, and prioritize responsibilities.
- Take and distribute meeting minutes, ensuring key points, actions, and follow-up items are accurately recorded and communicated.
- Manage the CEO’s inbox and direct mail, forwarding messages to internal staff with instructions for responses.
- Review, proofread, and format all correspondence to ensure accuracy and professionalism.
- Coordinate with advisors and escalate issues to senior leadership when necessary.
- Handle confidential and sensitive information with tact, discretion, and professionalism.
- Serve as a liaison between departments, advisors, and senior staff to ensure seamless communication.
Salary Range 💰
$60,000 USD - $70,000 USD
Skills, Knowledge, and Experience Required ✅
- 5+ years of experience as an Executive Assistant
- Bilingual proficiency in English and Spanish
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Excellent time management and organizational skills, with the ability to prioritize and handle multiple tasks efficiently
- Strong communication, teamwork, and customer service skills
- Ability to build and maintain relationships with diverse teams
- Discretion when handling confidential information
- Adaptability to thrive in a fast-paced environment
