About the Role 🎯

We are seeking a proactive, detail-oriented Bilingual Client Intake Specialist to serve as the primary contact point for clients and support our team administratively. Fluency in Mandarin and English is essential, with a focus on client communication, scheduling, and organization.

Key Responsibilities 📝

  • Serve as the primary contact for client calls, emails, and social media inquiries, providing professional bilingual support in Mandarin and English to ensure effective communication
  • Screen inquiries, identify client needs, schedule consultations, and guide clients through the intake process
  • Build rapport with clients, follow up on inquiries, and support lead conversion into retained clients, meeting monthly sales and consultation targets
  • Manage calendars, inboxes, communications, and deadlines, providing operational support to management
  • Maintain accurate client records using CRM systems, tracking interactions, follow-ups, and intake progress
  • Communicate professionally with clients, partners, and third parties, maintaining strong relationships
  • Collaborate with attorneys and team members to ensure smooth workflows and high client satisfaction

Qualifications ✅

  • Minimum 2 years of experience in client relations, customer service, administrative support, or related roles
  • Bachelor’s degree in communications, business administration, or a related field (preferred)
  • Fluent in Mandarin and English, both written and verbal
  • Experience with a U.S.-based law firm, especially in immigration law (highly preferred)
  • Familiarity with CRM software, virtual communication, and scheduling tools
  • Proficiency in Microsoft Office Suite, email management, and virtual collaboration platforms
  • Strong interpersonal skills with attention to detail and multitasking abilities
  • Reliable internet connection and dedicated home office setup
  • Experience communicating via social media platforms such as RedNote, WeChat, Facebook, Instagram, WhatsApp, and LinkedIn

Working Hours ⏰

Standard hours are 8:00 AM to 5:00 PM Pacific Time (PST). Alternative shift arrangements may be considered to accommodate the wide time differences.
