Job Summary 📝

The Administrative Coordinator plays a vital role in supporting daily office operations within a home care setting. Serving as the primary contact for caregivers and visitors, this bilingual role ensures effective communication with a diverse caregiver workforce. Responsibilities encompass managing front desk functions, answering and directing calls, and responding to employment and service verification requests promptly. Additionally, the coordinator supports payroll administrative tasks, maintains shared records, and assists management with various projects — all with a focus on delivering excellent customer service, professionalism, and confidentiality.

Essential Duties and Responsibilities 🚪📞

  • Greeting and assisting caregivers and visitors at the front desk
  • Providing administrative and operational support for efficient daily office functions
  • Managing incoming phone calls and assisting with inquiries
  • Supporting payroll-related tasks, including tracking missing timesheets, PTO requests, and verifications
  • Maintaining shared tracking spreadsheets and records
  • Supporting management with additional administrative projects and duties as assigned

Qualifications ✅

  • Minimum of 1 year of administrative experience in a professional environment; experience in a home healthcare agency is a plus
  • Bi-lingual proficiency in Spanish is required; knowledge of Haitian-Creole and/or Russian is a plus
  • Strong customer service and problem-solving skills
  • Excellent organizational skills with keen attention to detail
  • Effective verbal and written communication skills for engaging internal and external stakeholders
  • Exceptional follow-up skills and ability to see tasks through to completion
  • Ability to work independently and collaboratively in a fast-paced setting
  • Professional demeanor with a positive attitude and a commitment to supporting the team
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office software (e.g., HHAx)

Work Environment 🌟

On-site work five days a week to ensure seamless operations and excellent client care.

Compensation 💰

The hiring range for this position is $22.00 - $25.00 per hour. Final compensation will depend on factors such as relevant experience, skills, certifications, and location.
