The Painters & Allied Trades District Council 35 Finishing Trades Institute is seeking a Bilingual Administrative Assistant (Spanish) to support their operations in Lowell, MA, and assist with training documentation for union members in a dynamic, fast-paced environment. 🌟

About District Council 35

District Council 35 is an organization representing approximately 4,000 members across Massachusetts, Maine, New Hampshire, Vermont, and Rhode Island. We are dedicated to supporting our union members through efficient administrative processes and training programs.

Position Overview

This is a full-time, on-site role requiring strong organizational skills and attention to detail. The Administrative Assistant will be instrumental in managing daily office functions, tracking training and certifications, and supporting organizational events. Key Responsibilities

  • Input information into computer systems and update databases
  • Maintain accurate electronic and hard copy filing systems; retrieve and distribute documents
  • Track training completion and certifications for union members
  • Make copies, scan files, and support document preparation
  • Create and distribute documents, assist with reports as needed
  • Answer phones, provide and receive information related to training
  • Support the preparation and distribution of training materials and supplies
  • Perform general office duties: copying, printing, scanning, filing, faxing
  • Maintain calendars for training sessions, meetings, and events
  • Assist in planning and executing organization-sponsored events
  • Handle other ad-hoc projects as required

Qualifications

  • Fluent in Spanish is required 🗣️
  • Fluent in Portuguese is preferred 🌍
  • Three to five years of experience in administrative roles
  • Experience in construction or union environments is a plus 🏗️
  • Proficient in Microsoft Office Suite – Word, Excel, Outlook
  • Strong clerical and organizational skills with keen attention to detail
  • Ability to prioritize and multitask efficiently in a fast-paced setting
  • Excellent phone etiquette and communication skills 📞
  • Self-starter capable of managing multiple tasks independently while working collaboratively
  • Approachable, proactive, positive, and professional attitude 😊
