Join our team as a highly skilled Administrative Assistant (Bilingual - Spanish & English) to support the Dean’s Office with a dynamic range of duties, providing excellent customer service and professional support to our visitors and campus community. 🌟

Position Overview

We are seeking an experienced and motivated professional to play a key role within our administrative team. The successful candidate will handle diverse responsibilities, ensuring smooth operations and fostering a welcoming environment for all visitors and stakeholders.

Qualifications

  • Education: Bachelor’s degree in business administration or a related field, or equivalent combined experience and education as a substitute.
  • Experience: At least 1 year of secretarial, clerical, or administrative experience. Experience in higher education is preferred.

Key Responsibilities

  • Welcoming Visitors – Greet visitors and direct or guide them to the appropriate location. 🚶‍♂️🚶‍♀️
  • Communication Management – Answer the main office phone line, screen calls, and forward them as needed.
  • Inquiry Handling – Respond to in-person, telephone, and online inquiries efficiently.
  • Office Support – Maintain office files, manage office equipment, and assist with purchasing supplies.
  • Internal Resource – Support faculty, administrators, staff, and students with their needs.
  • Dean’s Calendar & Travel – Assist in managing the Dean’s schedule and travel arrangements.
  • Expense Management – Prepare and process expense reimbursements; reconcile expense accounts.
  • Event Coordination – Support scheduling and logistics for meetings, events, and activities for faculty, students, and alumni.
  • Correspondence & Documentation – Draft, edit, and produce business correspondence, reports, and confidential documents.
  • Data & Reporting – Support departmental reporting needs, data collection, and mailing logistics including database maintenance and mail merges.
  • Errands & Logistics – Run errands and assist with workshop and event logistics such as room reservations, catering, and setup/breakdown. 🛠️
  • Confidentiality – Ensure confidentiality and proper access controls for sensitive information.
  • Additional Duties – Assist minimally with exam administration, proctoring, and commencement ceremonies as required, based on business needs.
  • Other Responsibilities – Perform other related duties as assigned, with flexibility for organizational updates.
