Medaca is seeking a dedicated Administrative Assistant to be the welcoming face for our clients and patients, ensuring smooth daily operations and maintaining our high standards of service delivery.
About the Role
The Administrative Assistant will serve as the first point of contact for clients and patients, managing referrals and communication efficiently. This position reports directly to the Directors of Early Intervention Services.
Work Schedule: Monday to Friday, either 8:00am - 4:00pm or 8:30am - 4:30pm.
Training Program: 2 weeks in-office in Burlington, ON during the first month, followed by an additional 2-week in-office training in the third month.
Key Responsibilities
- Manage incoming referrals using our specialized database to create and assign cases
- Triaging and managing incoming faxes from multiple email inboxes
- Sending faxes via online portals efficiently
- Responding to emails via admin inboxes, liaising with clients, patients, and staff
- Building and maintaining positive relationships with doctors’ offices and patients over the phone
- Keeping Medaca files up-to-date with follow-up correspondence to ensure timely service delivery
- Handling ad hoc projects such as analyzing data in Excel, preparing reports, and supporting additional communication tasks
Qualifications & Skills
Education and Experience
- Post-secondary education in Office Administration, Business Administration, or related fields (preferred)
- Experience as an administrative assistant (preferred)

- Meticulous attention to detail for error-free work
- Strong written and verbal communication skills
- Discretion and tact in handling confidential information
- Interpersonal skills capable of collaboration and problem-solving with clients and internal teams

- Proficiency in Microsoft Office suite (Outlook, Word, Excel, PowerPoint, Teams)
- Interest in mental health services with a commitment to providing excellent patient care
