Responsibilities
- Manage front desk duties: greet visitors and direct them professionally and warmly 🧑💼
- Operate multi-line phone systems: answer inquiries promptly and route calls using proper etiquette 📞
- Data entry & record maintenance: update records and organize files with Microsoft Office and other software 💾
- Support office management: calendar management, scheduling appointments, and coordinating meetings 📅
- Assist with bookkeeping: track expenses and invoices using QuickBooks or similar software 💼
- Perform clerical duties: proofreading, preparing reports, and handling correspondence ✉️
- Provide customer support: address inquiries via phone and email, ensuring client satisfaction 😊
- Maintain office organization: manage supplies, incoming mail, and create a welcoming environment 🏢
- Support team members: assist with administrative needs and project coordination 🤝
- Maintain confidentiality: handle sensitive information responsibly in line with company policies 🔒
Qualifications
- Bilingual proficiency: fluent in English and Spanish with strong verbal and written skills (required) 🗣️
- Office experience: proven background in clerical and administrative roles 📝
- Technical skills: proficient in Microsoft Office Suite (Word, Excel, Outlook) and general computer literacy 💻
- Communication skills: experience with multi-line phones, data entry, filing, and calendar management 📞
- Bookkeeping knowledge: experience with QuickBooks is a plus 💰
- Organizational skills: ability to prioritize tasks effectively in a fast-paced environment 🗂️
- Customer service: excellent phone etiquette and client support capabilities 🌟
- Previous roles: receptionist or personal assistant experience is desirable ⭐
