Role: The Administrative Assistant reports to the Manager, Facilities & Operations. In this role you will ensure the smooth running of the office as well as the employees' level of happiness coming to work in our office.

You will be a focal point for the teams for both our companies in Philadelphia and LATAM regions, working closely with the business teams and buildings management to make certain that the office environment is ready and effective. You will also be instrumental in ensuring that the Philadelphia office is a positive and thriving place to work, running socials and adding an element of human care to the workplace.

Your Day with Equisoft:

  • Hiring Location: Philadelphia, US
  • The position is primarily office based due to its nature
  • Full-time Permanent Role
  • Benefits available, on the 1st of the month following date of hire: Medical, Dental, Telemedicine Program, etc. Quarterly Enrollment for Retirement Funds (USA)
  • Flexible hours
  • Number of hours per week: 40
  • Internal Title: Administrative Assistant

Employee Oriented Administrative Tasks

  • Organize and support the new employees onboarding (new parking, new accesses, etc.)
  • Coordinate social club activities and corporate events (parties, special activities, welcoming new members)
  • Organize and support employee events and ad-hoc activities such as order meals, snacks
  • Assist employees in organizing corporate travel (e.g. Concur profile creation, booking travel guests if needed, follow ups with our travel agent etc.)
  • Support the IT team to ensure that office facilities are functional for the employees and working closely with them for any aspect of concerning the IT equipment (receiving screens, computer equipment, office equipment, sending the IT equipment to other offices etc)
  • Any other initiatives that will contribute to increasing our employees' level of happiness

Administrative Tasks

  • Organize and plan the administration needs of the office such as mailing, shipping, equipment orders, office supplies
  • Organize and support the relationship with building management in respect with report, track, escalate building issues on behalf of the company and managing the tickets on landlords' building management systems
  • Distribute building or site critical information to the company on behalf of building management
  • Support and assist the office layout and management of seating assignments
  • Respond to customer and supplier communications in a timely manner and provide impeccable service
  • Support the Regional Vice-President's with logistics for any corporate events

Requirements:

Technical

  • Bachelor's Degree or College Diploma (or if in progress)
  • 1-2 years of relevant experience
  • Knowledge of MS Suite
  • Strong knowledge in computer literacy including ease with working with various computer systems
  • Excellent knowledge of English and Spanish (spoken and written)

  • Strong sense of organization and prioritizing
  • Analytical and problem-solving skills
  • Ability to communicate, write and synthesize information
  • Ability to multi-task in a rapid-paced environment
  • Team spirit, tact, diplomacy, autonomy, rigor, and discipline
