About the Company

This is a newly created position at a prominent bank located in US-NY-Flushing. We are looking for a dedicated candidate to fill this role and support branch operations.

About the Role

The Bank Branch Operations/Administration Officer will monitor employee discipline, ensure policy compliance, oversee security and maintenance, and handle administrative functions crucial to daily branch operations. 🏦

Key Responsibilities

Fixed Assets Management

  • Reconcile fixed assets semi-annually for accuracy
  • Supervise and coach staff on maintenance and record keeping for furniture and equipment
  • Periodically review reconciliation of branch furniture and equipment

Check Clearing

  • Review and authorize account entries related to check clearing
  • Manage signature verification, endorsements, and check processing
  • Supervise check scanning, balance verification, and canceled/check returns control

Operation Service

  • Review daily posting and reconciliation of check reports
  • Manage reconciliation of reserve and working supplies, including blank documents
  • Conduct random cash position checks of tellers
  • Oversee safekeeping of safe deposit box keys and collection of surrender keys
  • Maintain office supply reconciliation
  • Supervise administrative staff as needed

Physical Security

  • Conduct periodic checks of security equipment (e.g., emergency lights, hold-up buttons)
  • Provide instructions during security issues in absence of Branch Management
  • Maintain fire safety equipment
  • Daily monitoring of CCTV systems
  • Arrange security-related training for staff

General Administration Duties

  • Manage files and provide administrative support, including invoice handling and performance assessments
  • Review administrative procedures and suggest improvements
  • Maintain a clean, professional, and compliant work environment
  • Prepare and send inactive account notices and follow up with Banking Department
  • Assist in preparing abandoned property accounts list
  • Maintain employee attendance records
  • Serve as a backup for the Administration Clerk
  • Handle expense requests and ensure adherence to policies
  • Monitor compliance with laws like Anti-Money Laundering and Bank Secrecy Act
  • Ensure adherence to Global Service Standards and performance metrics

Qualifications

  • Minimum 10 years of experience in business administration or banking industry
  • Strong knowledge of administrative procedures, check clearing processes, security protocols, and record management
