🎯 Position Impact
The Associate HR Generalist plays a vital role in coordinating and administering human resources activities, including onboarding, training, compliance, employee relations, performance management, policy development, benefits administration, employment laws, and workplace safety. Responsible for record-keeping, HRIS entry, and supporting daily operations, this individual must communicate effectively with diverse internal and external stakeholders in a dynamic environment. The role requires independence and teamwork to ensure HR functions run smoothly.
📝 Essential Duties & Responsibilities
🔹 Policy Administration & Compliance
- Assist in administering HR policies, procedures, and practices aligning with corporate goals and legal standards
- Ensure compliance with labor regulations and maintain labor law posters
- Administer E-Verify processes and verify I-9 documentation, tracking employment eligibility expiration
🔹 Recruitment & Onboarding/Offboarding
- Coordinate hiring activities: background checks, drug testing, job offers, and onboarding documentation
- Enhance onboarding experience through collaboration with departments and prepare new employee files
- Support onboarding programs like 'Speedway to Success' and coordinate offboarding processes
- Manage employee status changes and facilitate smooth transitions for new hires
🔹 Employee Support & Relations
- Provide HR support on benefits, leave, FMLA, and related topics
- Coordinate accommodations, return-to-work, and light-duty responses with HR partners and managers
- Manage employee leave programs ensuring compliance and proper documentation
- Address employee requests promptly, enhancing satisfaction and resolving issues
🔹 Performance Management & Engagement
- Support performance review processes and employee recognition initiatives
- Distribute and communicate important projects like policy handbooks and benefit enrollments
🔹 Record Keeping & Documentation
- Maintain employee and contractor files, reports, and electronic records
- Manage correspondence, workplace postings, and trackers for leaves and employee changes
- Coordinate HR purchases and invoicing processes
🔹 Administrative Support
- Create and maintain Standard Operating Procedures (SOPs)
- Provide backup support for the South San Francisco Office
- Perform additional duties as assigned by management
🔹 Team Collaboration
- Assist HR team members with various projects and tasks
- Support the recruiting team with scheduling and candidate communication
- Maintain open communication with departments to ensure HR initiatives are well-coordinated
- Participate in HR projects, trainings, and workshops
- Provide feedback for process improvements and cover HR functions during team absences
📝 Qualifications & Experience
- Eligible to work in the US without sponsorship
- Minimum of 18 years old
- Bachelor's degree in HR Management, Business Administration, or related field, or equivalent experience (3+ years preferred)
- SHRM-CP or PHR certification (preferred)
- At least 2 years of progressive HR experience
- Experience managing leave of absence processes (FMLA, ADA, etc.)
- Knowledge of HR policies, employment laws, and labor standards
- Proficiency with ADP Workforce Now, Microsoft Office Suite, and other HR tools
- Experience in onboarding, background checks, and compliance procedures
- Ability to handle sensitive information confidentially
- Fluent in English; Spanish bilingual skills are a plus
