Position Overview
**Title:** Patient Appointment Coordinator
**Location:** Glendale, CA 91202
**Pay Range:** $18.00 – $20.00 per hour
About the Role
The Appointment Coordinator plays a vital role in managing patient appointments and maintaining accurate records within our EMR system. Fluency in Spanish is required, as the role involves communicating with diverse patient populations. The coordinator will oversee clinic schedules, identify patients for preventative dental evaluations, coordinate with clinical teams, and provide timely updates and results to patients. Strong communication skills, attention to detail, and the ability to work collaboratively in real-time are essential.
Key Responsibilities
🗓️ Appointment Scheduling and Management
- Schedule and confirm patient appointments in the clinic’s EHR system.
- Review daily clinic schedules to identify patients eligible for Preventative Dental Evaluations based on Health Bridge guidelines.
- Coordinate with in-office assistants and medical teams to ensure smooth check-ins and timely appointment adjustments.
📊 Data Reporting and Metrics
- Record and monitor daily appointment metrics across multiple schedules.
- Generate and report key metrics to support clinic planning and tracking.
- Provide end-of-day summaries and activity logs to management.
🤝 Communication and Coordination
- Act as the main point of contact for patient check-ins, cancellations, and reschedules.
- Liaise with in-office teams to address last-minute appointment needs and real-time changes.
- Communicate with clinical and dental teams regarding Preventative Dental Evaluation appointments.
- Inform patients of their results via phone calls, including translation support as needed.
📝 Administrative Support
- Assist with doctor and assistant credentialing processes.
- Ensure accurate documentation of patient demographics and appointment details in the EHR.
- Maintain comprehensive records of patient interactions and appointment modifications.
- Support other administrative tasks to promote efficient clinic operations.
Qualifications
- Excellent Communication: Strong verbal and written skills to interact effectively with patients, team members, and providers.
- Spanish Fluency: Required for seamless patient communication.
- Organizational Skills: Detail-oriented with excellent time management and multitasking abilities.
- Problem-Solving: Proactive approach to resolving scheduling issues in a fast-paced environment.
