Location & Working Hours 🕒
- Work Location: Remote with the ability to work onsite for the first ~1 month for training.
- Hours: Monday – Friday, 8:00 AM – 4:30 PM.
- Note: This remote position requires residing within 100 miles of New Berlin, WI, for training, meetings, and events as needed.

Position Summary 🎯
We are seeking a dedicated Administrative Services Coordinator to facilitate the client intake process, ensuring compliance with policies and protocols. This role involves communicating with clients, verifying information, and supporting the seamless flow of healthcare documentation, acting as the first point of contact to guide clients through their healthcare journey.
Key Responsibilities 📝
- Instruct end users regarding compliance requirements, forms, and documents such as patient service agreements and consent forms.
- Complete necessary documentation adhering to laws, regulations, and policies, ensuring all demographic and insurance data are accurate.
- Verify active prescriptions are on file for end users ordering products.
- Ensure intake forms are properly signed, filed, and maintained.
- Maintain data accuracy within the client management system.
- Follow up within 24 hours on incomplete documentation.
- Process paperwork efficiently for new clients according to protocols.
- Assist in navigating clients smoothly through the intake process.
- Communicate constructively with team members to resolve issues and reduce conflicts.
- Perform Medicare eligibility checks using Brightree System.
- Create sales order templates.
- Respond to and document inquiries via phone, fax, and email, escalating as necessary.
- Follow up with clients by providing key information and recording interactions.
- Verify eligibility and cost information to assess client needs.

- Exceptional attention to detail.
- Proficiency in Microsoft Word, Excel, and Outlook.
- Effective communication across various levels and backgrounds.
- Bilingual skills are a plus.
Basic & Preferred Requirements 🎓
Basic Requirements:
- Must be at least 18 years old.
- High School Diploma or GED required.
- 1-2 years of administrative or healthcare-related intake experience.
- Minimum keyboarding speed of 5000 keystrokes per hour.
Preferred Requirements:
- Associate’s degree in medical office management or related field.
- 2-3 years of experience with database management, preferably Brightree.
- Experience working in a durable medical equipment environment.
