Job Description

Background

The Department of Safety and Security (UNDSS) provides leadership, operational support, and oversight of security management to enable UN operations worldwide. As a leader in security risk management, UNDSS ensures the safe and effective delivery of UN programs in complex environments, contributing to peace, security, human rights, and sustainable development goals. In Israel and the Occupied Palestinian Territory, UNDSS supports UN agencies and NGOs to conduct operations safely, ensuring peace and security for staff and beneficiaries.

Duties and Responsibilities

Operational Strategy & Compliance
  • Implement operational strategies aligned with regulations and quality standards
  • Ensure administrative activities comply with UN/UNDP policies
  • Contribute to business process mapping and SOP development
  • Coordinate with UNDP on administrative, financial, HR, and procurement matters
  • Identify bottlenecks and liaise with relevant divisions for solutions
Financial & Administrative Support
  • Implement internal controls for administrative and financial duties
  • Support budget preparation and audit processes
  • Collect and analyze data, prepare reports and statistical charts
  • Assist during emergencies, including staff evacuations
  • Handle HR activities: recruitment, performance appraisals, training, separation procedures
  • Coordinate end-to-end recruitment with hiring managers
  • Maintain property and asset records, conduct inventories
  • Monitor dashboards and manage remedial actions
Logistical & Office Services
  • Manage office supplies, procurement processes, and shipments
  • Arrange travel, accommodations, visas, and official documentation
  • Coordinate vehicle management, maintenance, and record-keeping
  • Oversee office maintenance and technical services
  • Serve as a point of contact for vendors and technicians
Support and Knowledge Sharing
  • Participate actively in team discussions and organizational initiatives
  • Organize and assist in training for operations staff
  • Contribute to knowledge networks and community of practice
  • Facilitate knowledge sharing focused on office efficiency and best practices
Other Duties

Perform additional tasks as assigned to ensure the smooth functioning of the office and organization, under supervision of the Principal Security Advisor and Administrative Officer.

Minimum Education & Experience

Education: High School diploma or undergraduate degree in Business Administration, Public Administration, Accounting, Finance, or equivalent

Experience: 6 years with high school diploma or 3 years with a bachelor’s degree in relevant fields

Key Skills

  • Proficiency in MS Office and other digital tools
  • Knowledge of procurement and financial management
  • Strong organizational and prioritization skills
  • Experience liaising with teams and external partners
  • Knowledge sharing and coordination expertise

Desirable Skills

  • Experience within the UN system or international NGOs
  • Event planning and coordination skills
  • Support experience in emergency operations
  • Driving license for Jerusalem and West Bank travel
  • ERP systems (SAP, Oracle) familiarity
  • Knowledge of IPSAS and IFRS standards
  • Part-qualified accounting accreditation

Language Requirements

  • Fluent in English and Arabic
  • Working knowledge of Hebrew
