About the Role
Initially serving as an Administrative Assistant to the President, this role involves supporting executive-level coordination and day-to-day administrative operations across our industrial campus. As the company grows, the role is expected to evolve beyond traditional administrative tasks to include broader communication, coordination, and external-facing responsibilities. We're looking for someone who is adaptable, dependable, and eager to grow with us.
The ideal candidate will be professional, discreet, organized, and possess strong cross-cultural communication skills, with the ability to confidently switch between hands-on administrative duties and higher-level strategic support.
Responsibilities
Executive Support
- Provide direct administrative and personal support to the President, including scheduling, meeting coordination, travel planning, and document preparation ✈️📅.
- Assist with English–Chinese (Mandarin) translation and interpretation during meetings, calls, and written communications 🈶️📝.
- Handle sensitive and confidential information with discretion and sound judgment 🔒.
- Coordinate and host visiting executives, partners, and delegations 🤝.
- Act as a communication bridge between the President and internal departments to ensure alignment and efficiency 📞.
Administrative & Office Management
- Oversee general office administration and facility management, including landscaping, irrigation, and vendor coordination 🌳💧.
- Manage administrative budgets, office supplies, and service contracts 💼💰.
- Support visa and relocation arrangements for expatriate employees, coordinating with HR and external agencies ✈️📝.
- Maintain organized administrative records and ensure compliance with internal procedures 📂.
- Support process improvements and help establish structured administrative workflows as the company scales 🚀.
External Coordination (Growth Path)
- Support external communication and coordination efforts with partners, visitors, and institutions.
- Represent the company professionally in external dealings to foster positive relationships 🌐.
- Assist leadership with preparing materials, presentations, and coordinating external engagement activities 📊🤝.
Qualifications
- Bachelor’s degree preferred or equivalent professional experience 🎓.
- Strong sense of responsibility, integrity, and attention to detail ✅.
- Dependable, mature, and professional demeanor capable of handling confidential matters 🤝🔒.
- Fluent in both English and Chinese (Mandarin), with excellent written and verbal skills 🈶️📝.
- Excellent organizational skills, attention to detail, and ability to manage multiple priorities independently 📋⏱️.
- Professional and confident interaction with executives and guests 👔.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) 💻.
- Experience with visa or expatriate administration is a plus 🌍.
Work Environment
This is a full-time, on-site position based in Fort Mill, SC, within the Charlotte metro area 🏢. The schedule is Monday through Friday, with occasional flexibility required for meetings with international teams or special events 🌎.
