About the Position

The Administrative Assistant for the Bridge Family Religion School at Temple plays a crucial role in ensuring the smooth operation of youth education programs. This position supports the school's administrative needs, manages student registration, coordinates logistics, and serves as a key contact for parents and staff.

Essential Duties

The following duties exemplify the core responsibilities of this role. Additional tasks and responsibilities may be assigned or modified to meet organizational and community needs.

  • Student Registration and Attendance 📋
    • Oversee registration via the ShulCloud platform for new and returning students, update forms as needed, and communicate with families.
    • Monitor class registrations; coordinate with Directors when classes reach full capacity.
    • Collaborate with the Database Administrator to ensure accurate records and registration adjustments.
    • Work with the Finance department on tuition collections, scholarship postings, and adjustments.
    • Record Madrichim attendance at the Seattle Sunday office.
  • Purchasing & Inventory Management 🛍️
    • Manage procurement of supplies, maintain inventory, distribute materials to teachers, and monitor spending to safeguard temple resources.
  • Logistics Planning 🚚
    • Assist with planning logistics for programs, including food orders, transportation, hotel bookings, and space reservations.
  • Teacher & Team Support 🤝
    • Coordinate onboarding for new teachers, manage expense reimbursements, and troubleshoot payroll issues.
    • Attend weekly and special Education Team meetings.
  • Point of Contact 📞
    • Serve as the primary contact for inquiries related to the religion school, assisting parents, students, and staff.
  • Administrative Support 🗂️
    • Handle scheduling, document preparation, and correspondence to support daily operations.

Requirements

Temple values a combination of education and experience, providing a strong foundation for success in this role.

  • Education: High School Diploma or equivalent required; Associate's or Bachelor's degree preferred.
  • Experience: Minimum of 2 years in administrative roles, preferably in education or religious settings.
  • Skills:
    • Strong organizational and multitasking skills
    • Excellent communication and interpersonal skills
    • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
    • Ability to work independently and collaboratively
    • Familiarity with database management systems is a plus

Physical Requirements 🏋️‍♀️

  • Sitting for extended periods at a desk
  • Manual dexterity for keyboarding and office equipment
  • Ability to read documents, emails, and screens
  • Effective communication via phone and in person
  • Occasional lifting of items up to 20 pounds
  • Mobility to move around the office and attend meetings, including multi-level navigation

Work Environment & Conditions 🌍

  • Primarily office-based, with flexibility for evenings, weekends, and holidays
  • Typical hours: Monday to Friday, 8 AM - 5 PM
