Join Our Team as an Administrative Assistant!

Be part of a meaningful project supporting victims of Hurricanes by helping them access the funding needed to repair or rebuild their homes. This role offers you the chance to serve your community and make a real difference.

Responsibilities

  • Manage multiple calendars: Arrange meetings, conference calls, and video conferences using Outlook
  • Proofread and edit: Review documents and reports for accuracy and clarity
  • Coordinate meals: Organize catering for lunch meetings, breakfast meetings, and after-hours staff meals
  • Assist with logistics: Travel arrangements, meeting preparations, data entry, correspondence, and document scanning
  • Time and expense tracking: Enter data into the Practice Management system as requested
  • Perform other administrative duties as assigned

Position Requirements

  • Educational background: High school diploma or equivalent; associate’s or bachelor’s degree preferred
  • Experience: Minimum of three (3) years in a professional office environment preferred
  • Background check: Ability to pass a Level 2 background check (fingerprinting required)
  • Technical skills: High proficiency with office equipment including scanners, copiers, printers, projectors, video conferencing tools, and multi-line phone systems
  • Software proficiency: Advanced skills in Microsoft Office Suite
  • Problem-solving: Ability to troubleshoot and resolve issues effectively
  • Flexibility: Willingness to work overtime if needed, before or after normal business hours

Preferred Skills

  • Previous construction administrative experience
