About the Role

As an Administrative Assistant, you'll play a key role in supporting our team by managing daily functions through established systems and procedures, assisting the administrative and management teams, and contributing to a meaningful cause within your community.

Key Responsibilities 🚀

  • Manage multiple calendars: Schedule meetings, conference calls, and video conferences using Outlook.
  • Proofread and edit: Ensure accuracy in documents and reports.
  • Coordinate meals: Arrange meals for meetings, including lunch, breakfast, and after-hours staff meals.
  • Assist with logistics: Handle travel arrangements, meeting setups, data entry, correspondence, and document scanning.
  • Data entry: Record time and expenses into the Practice Management system for staff as needed.
  • Other duties: Perform additional administrative tasks as assigned to support the team.

Position Requirements 💼

  • High school diploma or equivalent required; associate’s or bachelor’s degree preferred.
  • Minimum of three (3) years' experience in a professional office environment is preferred.
  • Ability to pass a level 2 background check (including fingerprinting).
  • Proficiency with advanced computer and office equipment, including scanners, copiers, printers, projectors, video conferencing tools, and multi-line phones.
  • Exceptional skills in Microsoft Office Suite are essential.
  • Problem-solving and troubleshooting abilities are a plus.
  • Flexibility to work overtime if needed, before or after normal business hours.

Preferred Skills 🌟

  • Experience with construction administrative tasks is highly desirable.
