Position Overview
The Administrative Assistant plays a key role in creating an exceptional experience for our team members through dedicated support, service-oriented solutions, and fostering a positive workplace culture. As a trusted partner to both staff and leadership, this role manages LAWA badging requirements and nurtures strong organizational relationships.
Core Responsibilities
- Manage airport badging and CBP applications, including new hires, renewals, and deactivations.
- Collaborate with HR and account managers to keep relevant contacts informed of badge statuses from start to finish.
- Accurately file badging records in personnel files.
- Respond to employee inquiries via admin email inbox regarding badging and related topics.
- Perform administrative tasks such as updating files, drafting, proofreading, and distributing correspondence.
- Translate documents and conversations between English and Spanish, both verbally and in writing.
- Assist with bilingual onboarding and facilitate new hire orientation in Spanish.
- Conduct research as directed by management for various assignments.
- Act as backup to the HR Office Assistant during lunch, sick, or vacation absences.
Requirements
Required
- Experience delivering exceptional customer service
- 1-2+ years of administrative assistant experience
- Bi-lingual proficiency in English and Spanish
Preferred
- Experience with ATS and HRIS systems to improve team member service
- Knowledge of HR practices and employment laws
Skills & Competencies
- Fluent in speaking, reading, and writing in both English and Spanish
- Strong organizational and time management skills with keen attention to detail
- Excellent interpersonal communication, maintaining confidentiality and building trust
- Creative problem-solving with a focus on positive resolution
- Proficiency with Microsoft Office suite
- Effective verbal and written communication abilities
- Professionalism, organization, and problem-solving mindset
- Knowledge of general office equipment
- Adaptability to shifting demands and priorities
- High school diploma or equivalent
Working Conditions & Requirements
- Part-time position, with potential to increase to full-time (minimum 32 hours/week)
- Office environment involving prolonged computer and desk work
- Report to Supervisor, HR Solutions
