We are seeking an experienced and proactive Accounting and Administrative Assistant to support the financial and operational functions of our expanding international luxury resale business. 🌍 Position Overview

  • Employment Type: Full-time
  • Location: West Hollywood, California (On-site Only)
  • Working Hours: 9:30 am to 6:30 pm
  • Off Days: 2 days per week, with one fixed on Wednesday
  • Role Focus: A comprehensive back-office position handling accounting, HR, administration, compliance, and legal coordination for our US entity, supported by outsourced firms and HQ advisors. Additional assistance may be required during month-end, quarter-end, and audits.

🔑 Key Responsibilities

  • Accounting: Manage daily records in QuickBooks with complete documentation and controls.
  • Reporting: Prepare monthly management reports, quarterly closing packs, and reconciliation schedules.
  • Audit & External Reporting: Collect and compile evidence and schedules for audits and external reports promptly.
  • HR & Payroll: Coordinate recruitment, payroll processing, and HR administration with outsourced partners.
  • HR Documentation: Maintain employee handbooks, policies, and HR records, ensuring alignment with HQ and advisors.
  • Office Administration: Oversee supplies, contractor arrangements, and preparatory tasks for new store openings.
  • Compliance: Track and renew licenses, permits, and maintain a compliance calendar; monitor legal updates and coordinate with advisors.
  • Coordination: Act as the primary liaison between external accounting, legal, and HR providers, ensuring smooth back-office operations.
  • Risk Management: Escalate significant risks or decisions to HQ promptly, ensuring alignment with strategic objectives.

🎯 Minimum Requirements

  • At least 5+ years hands-on experience in accounting and back-office functions, including HR, admin, and compliance.
  • Strong expertise in QuickBooks, accounting workflows, and reconciliation processes.
  • Demonstrated ability to manage a standalone back-office role with external support.
  • Knowledge of payroll, employee handbook management, and HR governance.
  • Excellent ownership, confidentiality, and skills in meeting deadlines for monthly and quarterly deliverables.
  • Clear communication skills in English for cross-functional and external collaborations.

✨ Preferred Qualifications

  • Experience with US small-business licensing, permits, and compliance.
  • Hands-on coordination with CPA firms, legal counsel, and HR service providers.
  • Background in retail, luxury goods, or multi-store operations.
  • Japanese language proficiency at JLPT N3 or above is preferred for managerial communication.

💰 Compensation & Benefits

  • Salary: $85,000 to $108,000 annually, depending on experience
  • Benefits: Comprehensive package including health, dental, and other benefits

🌏 Overseas Training Program

New employees will participate in a 3-month overseas training program in Southeast Asia (Singapore, Indonesia, or Malaysia) from approximately July to September 2026. This includes:

  • Monthly salary during the training period
  • Full housing support by the company
  • Visa assistance for the duration of the training
