A leading Japanese travel company is looking for a talented bilingual Accounting and Administrative Coordinator to support their operations in Oahu, Hawaii. This role is perfect for a proactive leader capable of managing accounting functions, supporting financial reporting, and collaborating with stakeholders across the U.S. and Japan. 🌏💼

📍 Position: Accounting & Administrative Coordinator

Location: Oahu, Hawaii – (Hybrid Work Environment)

Working Hours: Monday through Friday, 8:00 AM to 5:00 PM (with occasional outside hours)

🎯 Primary Responsibilities

Reporting directly to the General Manager of Corporate Planning & Administration, this role oversees all operations within the Corporate Accounting & Finance Department. Responsibilities include managing accounts receivable and payable, auditing, and financial reporting. You will establish and maintain accounting principles, policies, and procedures to ensure accurate fiscal records and timely financial reports. Developing systems and ensuring compliance with professional standards and regulations are also key parts of this role.

📝 Essential Duties

  • Plan, direct, and coordinate all accounting functions in line with established systems and accepted accounting principles to meet company and regulatory standards.
  • Manage the consolidation of financial data for accurate reporting of business results, including overseeing general ledger activities and report analysis.
  • Prepare internal and external financial statements, budgets, analysis reports, and various monthly, quarterly, and annual reports. Also, create special reports for upper management and regional HQ as needed.
  • Analyze and interpret statistical and accounting data to evaluate operating performance, profitability, and budget adherence.
  • Coordinate and prepare tour estimates and reconciliations.
  • Monitor cash flow and decide on the allocation of available funds.
  • Collaborate with internal and external auditors, including scheduling, analysis, and response to inquiries.
  • Ensure compliance with tax laws and regulatory requirements by preparing necessary forms and reports.
  • Evaluate current accounting processes and recommend improvements or new procedures.
  • Enforce internal control procedures to guarantee transaction accuracy, authorization, and discrepancy detection.
  • Manage the company’s insurance policies (auto, property, liability), including renewal documentation and ensuring adequate coverage at favorable rates. Support tour operations department for insurance binding on various events.

🔧 Other Duties

  • Assist in other operational areas during peak periods as needed.
  • Perform any additional duties assigned by the manager.

🧑‍🤝‍🧑 Supervisory Responsibilities

Lead and motivate subordinates to achieve individual and team goals. Provide training, evaluation, counseling, and guidance to foster professional growth and ensure high performance standards.

🎓 Education and Experience

  • Bachelor's degree in accounting or finance from an accredited institution is required.
  • CPA license is mandatory.
  • At least 7 years of progressively responsible accounting experience, with 5 years in a managerial role.
  • Experience in tour operations and travel industry knowledge is preferred.
  • Fluency in English and Japanese is highly desirable.
