Position Summary ✨
We are seeking a dedicated Events Specialist to support the Hebrew University/UCLA School Safety research exchange. This role involves coordinating meetings, events, and the annual conference, assisting team members, and managing daily operations.
Key Responsibilities 📋
- Event Coordination: Manage pre-event logistics, including arranging speakers' travel, venue booking, catering, lodging, onsite set-up, guest check-in, A/V troubleshooting, and event tear-down at UCLA and external venues.
- Administrative & Financial Tasks: Coordinate travel arrangements, reimbursements, purchases, and quarterly ledger reconciliation in collaboration with faculty and staff.
- Office Management: Oversee space functionality, organization, repairs, supplies, technology, equipment, office space, and keys.
- Research Support: Monitor and initiate research subcontracts with partners in Los Angeles.
- Team Support: Assign tasks, train volunteers and student workers to meet operational needs.

Qualifications ⭐
- Preferred: Experience managing event logistics, familiarity with UCLA procurement systems (BruinBuy, Concur), and web-based registration tools (Eventbrite).
- Required: Strong interpersonal and written communication skills, proficiency in computer systems (Windows, Microsoft Office, Google Drive, Airtable).
- Ability to work independently, manage time effectively, prioritize tasks, and represent UCLA/UH with professionalism.
- Patience when working with diverse communities speaking Arabic, Hebrew, English, and Spanish.
Special Conditions for Employment 🛡️

- Candidate must be at least 18 years old.
