Telescope Recruitment Is Hiring An Office Assistant
Our employer is seeking a highly organized and proactive PART-TIME Virtual Office Assistant to support the President of their Jewish non-profit organization. This role requires strong project management skills, a high level of attention to detail, and the ability to handle multiple tasks efficiently. The Virtual Office Assistant will assist in managing the President's day-to-day tasks, overseeing small projects, and coordinating activities with donors and foundations. Proficiency in editing and formatting documents, handling translations to Hebrew (an asset), and supporting grant and foundation applications is essential.
Role Details:Employment Type: Part-TimeWorking Hours: 20 hours, Daily, 9am-1pm PST (preferred, not mandatory)Hourly Rate: $30-40/hr
Key Responsibilities:
- Editing & Formatting Documents - Prepare, edit, and format various documents, including Word documents, PowerPoint presentations, and other materials for internal and external stakeholders.
- Ensure that all documents adhere to organizational standards for professionalism and accuracy.
Task & Time Management:
- Assist the President in managing and prioritizing a diverse scope of to-do items, ensuring all tasks are organized and completed on time.
- Set up efficient tracking and reminder systems to facilitate effective task management.
Project Support for Donors & Foundations:
- Provide administrative support on small projects for donors and foundations, including communication, tracking project milestones, and preparing materials for review.
- Work closely with the President to ensure donor and foundation projects align with organizational goals and are managed effectively.
Foundation Applications:
- Assist with completing online forms and applications for foundation grants, ensuring accuracy and adherence to submission requirements.
- Track submission deadlines and follow up on the status of applications.
Project Management for Donor & Foundation Initiatives:
- Utilize project management skills to support initiatives with donors and foundations, ensuring goals are met and stakeholders are kept informed.
- Track project timelines, milestones, and deliverables, and prepare status updates as needed.
Travel Coordination:
- Plan and schedule travel arrangements for the President, including flights, accommodations, and transportation.
- Manage travel itineraries and ensure all logistical details are arranged seamlessly.
- Occasional travel might be required - TBD.
Document Translation (Asset)
- Translate documents from English to Hebrew when needed.
- Fluency in Hebrew is an asset but not required.
Qualifications:
- Proven experience as a virtual assistant, office assistant, or similar administrative role, ideally within the non-profit sector.
- Strong proficiency in Microsoft Office Suite (Word, PowerPoint, Excel) and familiarity with project management software.
- Excellent written and verbal communication skills.
- Proactive, detail-oriented, and able to handle multiple tasks efficiently.
- Basic knowledge of Hebrew for document translation is an asset.
- Strong organizational skills and ability to work independently in a remote environment.
