Job Summary
To succeed as a bilingual administrative assistant, candidates should be professional, attentive, and accurate. Being prepared and responsive to challenges is essential. Comfort with computers, office procedures, and excellent verbal and written bilingual communication (English/Spanish) are required. Above all, a genuine desire to meet others’ needs is key. 😊
Summary of Essential Job Functions
- Manage daily administrative tasks for the President, Executive, and Sales Teams, including preparing background info and supporting documents for meetings, appointments, and conferences.
- Maintain efficient communication channels internally and externally regarding Speedling’s plans and priorities.
- Handle all incoming and outgoing correspondence, ensuring deadlines are met through follow-up.
- Arrange travel plans and process related expense reports as needed.
- Take minutes at meetings and follow up on action items, offering support to the Executive Team.
- Maintain Board resolutions, official files, and uphold Speedling’s document retention policies.
- Perform data entry for labor trackers, update schedules in the T&A system, and prepare monthly calendars for employee birthdays and anniversaries.
- Participate in the Employee Enrichment/Wellness Committee.
- Assist employees as necessary.
- Handle confidential and sensitive information with tact, professionalism, and diplomacy.
Minimum Requirements
- Bachelor’s degree preferred
- 5+ years of experience
- Fluent bilingual proficiency in English and Spanish (spoken and written)
- Expertise in MS Office applications
- Clear criminal background and drug-free status
- Willingness to work nights and/or weekends if required
- Proactive, self-motivated, able to work independently
- Ability to tolerate greenhouse elements such as heat, cold, water, and dirt
