BHI Is Hiring An Administrative Assistant

Job Summary

The Administrative Assistant role will be responsible for providing high-level administrative support to BHI-USA's CEO's Office and Sr. Mgmt Team under the supervision of the Executive Assistant for the CEO. This position will help assist and coordinate day-to-day activities, manage administrative needs, and ensure the timely flow of information to and from the CEO's Office as directed by Executive Assistant for CEO. This role will also facilitate regular and timely communication with Sr. Mgmt. team leaders, staff, and key external relationships, such as consultants.

Main Duties and Responsibilities:" Serve as secondary support to BHI-USA CEO, including full support while the Executive Assistant for CEO is out of the office. " Serve as backup to Receptionist; greet & assist visitors and provide refreshments as needed. " Work collaboratively with Executive Assistant for BHI-USA CEO & Receptionist to ensure best practices are adopted and an inclusive culture is nurtured." Work closely with other BHI-USA Sr. Mgmt. Team Leads;" Maintain complex and detailed calendars and ensure important deadlines are met." Screen incoming calls and determine the level of priority, while using caution in dispensing information." Manage the coordination and logistics of both internal and external meetings." Arrange and coordinate complicated domestic and international travel." Organize all aspects for offsite conferences and external events, including catering and transportation." Assist with organizing binders, printing documents, preparing for meetings and events." Handle incoming telephone calls; route calls to appropriate individuals; may handle routine matters directly. " Arrange refreshments for meetings. Coordinate social events." Assist with expense submission, travel arrangements and special projects. " Follow up and handle tasks as requested." Act as liaison between vendors and Accounting Department to resolve billing issues. Ensure accuracy of invoices when received and prepares payment requests." Perform other duties, as assigned, which fall within scope of responsibility.

Qualifications Needed

Knowledge:" Office experienceTechnical Skills:" Microsoft Office, Excel and Power Point savvy." Professional communication and people skills. " Ability to perform under pressure and multi task.

Competencies:" Ability to effectively & efficiently work in both remote and onsite office environment and provide support to Sr. Mgmt. Team." Organize tasks and effectively manage time in order to handle several projects simultaneously." Excellent judgment and discretion in handling sensitive data and confidential information." Communicate clearly, concisely and effectively, both verbally and in writing. " Compile and analyze statistical data for use in reports. " Prepare reports for management review and/or action. " Develop and maintain effective working relations with co-workers, department managers, vendors, and consultants." Self-starter; motivated to learn and operate independently." Project Management skills including setting dates, tasks, milestones, budgeting, and scheduling resources.
